Initial Engagement
Discovery & Site Assessment
We begin with a no-obligation conversation to understand your development, your current frustrations, and your goals. We will review your existing service charge accounts, contracts and documentation — and give you an honest assessment of what we can offer.

Transition
Structured Handover
We manage the transition from your existing managing agent — including novation of contracts, transfer of float funds, collection of keys and access codes, and notification to residents. From top to bottom, we create an asset list to track cyclical maintenance and testing, so that every aspect of the property is monitored and managed. Our target handover period is 6–8 weeks, with a dedicated lead overseeing every step.

Onboarding
Resident & Director Introductions
We introduce ourselves to all residents in writing, provide access to our resident portal, and hold a directors' onboarding meeting. We explain our systems, responsibilities and how to raise issues, in plain language — so everyone is aligned from day one.

Day-to-Day Operations
Clear communication is one of our core values, so we make it easy to reach us — by phone, email, text, or online form. Our management platform handles everything from maintenance requests and contractor management to service charge administration, with every issue logged, tracked, and actioned. Customers can follow progress in real time, and directors receive proactive updates directly from their dedicated manager — no chasing required.

Maintenance
Maintenance Issues
As soon as a maintenance issue is logged and details are received, it is available to monitor on the customer portal. Quote requests are then promptly sent to our contractors, typically a minimum of two quotes are obtained before proceeding with any works. Consultation and director approval are subsequently sought as required before proceeding with any works.
A notification of works is sent to residents to reduce disruption and, on completion of an issue, the affected parties are contacted directly to confirm resolution. The contractor is then paid within 5 working days of signing off the work.
For maintenance issues, we respond within 8 working hours.

Emergencies
Emergency Issues
In the event of an emergency, our priority is the safety and security of all residents. We will instruct and notify the emergency services and contractors on an urgent basis, as required. As soon as it is practicable, residents, leaseholders, and directors will be notified and updated as required.
We reserve the right to incur expenditure in an emergency to make an area safe. Any further expenditure for non-urgent works will be procured and will be subject to director authorisation, as required

Reporting
Site Visits & Expenditure Reports
Frequent site visits (often monthly or quarterly, as agreed with Directors), your Wexel manager conducts a formal site inspection and produces a written report covering condition notes, actions arising, expenditure to date, and upcoming planned works. Distributed on our platform within 5 working days.

Annual Cycle
Budgeting, AGMs & Year-End
We prepare the annual service charge budget, support your AGM and liaise with your accountants at year-end. Draft budgets are issued to directors no later than 8 weeks before the service charge year begins — giving sufficient time for review and consultation.

Wexel Property Management is committed to providing a high standard of service. We recognise that things can go wrong, and that clients may sometimes be dissatisfied. This procedure sets out how we handle complaints.
Step 1 — Raise Your Concern Informally
In the first instance, raise your concern directly with your property manager by telephone or email. Many issues can be resolved quickly at this stage. We aim to acknowledge informal complaints within two working days and resolve them within ten working days.
Step 2 — Formal Written Complaint
If your concern is not resolved informally, submit a formal written complaint to: hello@wexelpm.co.uk. Please include your name and property address, a clear description of your complaint, any relevant dates and correspondence, and the outcome you are seeking.
We will acknowledge receipt within three working days and issue a full written response within 15 working days.
Step 3 — Internal Escalation
If you remain dissatisfied following our formal response, you may request that your complaint be reviewed by a senior member of the Wexel management team. This review will be completed within 15 working days of your escalation request.
Step 4 — External Redress
If you remain dissatisfied after exhausting our internal procedure, you may refer your complaint to The Property Ombudsman (TPO), of which Wexel Property Management is a member. The TPO provides a free, independent and impartial service: www.tpos.co.uk

Wexel Property Management is committed to operating ethically, transparently and in the best interests of the clients we serve.
Transparency
We will be open and honest in all our communications with clients. We will not charge fees or commissions that have not been disclosed in advance. Our fee structure, processes and contractual terms are always clearly set out and available on request.
No Undisclosed Commissions
Wexel does not accept commissions, referral fees or other benefits from contractors or suppliers. We appoint contractors on the basis of quality, reliability and value — not financial incentive.
Conflicts of Interest
We will identify and disclose any actual or potential conflicts of interest to our clients promptly. Where a conflict cannot be managed appropriately, we will decline to act.
Client Funds
Service charge funds are held in separate, designated client accounts and are not commingled with our own funds. We maintain accurate records and provide regular financial reporting as standard.
Regulatory Compliance
We comply with all applicable legislation governing residential property management in England and Wales, including the Landlord and Tenant Act 1985, the Commonhold and Leasehold Reform Act 2002, and applicable RICS standards. We are members of The Property Ombudsman redress scheme.
