Built For Cheltenham Sites
From purpose-built to Regency and listed buildings.
Cheltenham has a high concentration of period and listed fabric alongside modern residential blocks and estates.
Generic managing-agent software often misses what conservation officers need and fails to give directors clear oversight.
Asset-level tracking for listed and heritage compliance
Heritage preservation through flawless data.
Listed buildings require meticulous, highly regulated maintenance. Where traditional managing agents use spreadsheets and off-the-shelf software that can lead to missed compliance checks and heritage degradation.
Wexel's full asset tracking logs every distinct element of a listed building individually on the portal — lime-mortar masonry, original sash windows, ancient attenuation ponds —
with historical photographs attached to that element, not buried in a general site folder. The same structure is used for every asset from block to estate, so nothing is overlooked.
Why it matters
When a conservation officer or RICS surveyor needs to review the building's maintenance history, Wexel can produce a digital, chronological photo-log
of how a specific structural element has been maintained over time.
02
The interactive site plan is the single source of truth
We digitise your estate.
Large, historic and complex sites often suffer from ambiguity. Disputes can arise over boundary lines, unadopted roads and shared utility infrastructure —
and even on a smaller block, assets still need to be located quickly when something fails.
Wexel positions the interactive site plan as the tool that removes that ambiguity. Providing pinpoints to the exact asset, digitally plotted on the site plan, with a photo log.
That is how errors and disputes are cut out of the day-to-day.
Why it matters
A single source of truth record prevents general confusion, misallocated service charges and speeds up emergency contractor response,
because the asset is already located, photographed and logged.
03
A custom portal for complex service charges
Software fit for your development.
Some developments may have multi-tiered service charge schedules — estate charges, block charges, and specific amenity charges.
Generic, off-the-shelf management software often struggles to split these fairly or transparently. A standard block still benefits from the same live visibility.
We have built our own portal from the ground up, so as not to be constrained by generic limitations. The portal can be adapted to reflect the exact requirements of each site,
giving every customer a bespoke dashboard showing exactly what they are paying for.
Why it matters
24/7 visibility of live maintenance updates and specific service charge routing removes the "black box" anxiety that plagues developments —
whether the site is a listed conversion or a purpose-built residential block.
A response commitment.
We acknowledge every maintenance report within 8 working hours and action within 16 working hours. We track this rigorously and report it to directors every quarter. Miss it, and we discount the following month's fee.
8hAcknowledgement guarantee
16hAction guarantee
FeeDiscounted if we miss it
TRANSPARENCY
Structured. Responsive. Accountable.
Transparent management starts with better processes and systems. That's why our processes are published, our response times guaranteed, and our software built from the ground up for our exclusive use — giving you clear operational oversight, with live issue tracking and quarterly expenditure reports.
8h
Maximum time of 8 working hours to acknowledge any maintenance report — contractually committed, every time.
16h
Maximum time of 16 working hours to log and action issues, with updates available in real-time on our portal.
£0
Charged in contractor commission, utility or insurance renewal fees.
1
Integrated management platform, built exclusively for Wexel — no generic off-the-shelf software.
PROACTIVE & ACCOUNTABLE
See clearly. Decide confidently.
For Cheltenham developments — from listed conversions to modern residential blocks — every issue and maintenance job is logged and tracked on our portal the moment it is raised, alongside the processes we publish openly.
Our customer portal provides:
✓Live issue tracking
✓Quarterly site reports with line-by-line expenditure visibility
✓Service charge balances, statements and due dates
✓Full asset tracking with historical photo-logs — including listed and heritage fabric
✓Interactive site plans as the single source of truth — every asset digitally plotted on the site plan and photo-logged
A managing agent in Cheltenham should be judged on the details. Here is what we do that most agents don't.
Published processes
Everything we do is documented and shared — no black boxes. You know exactly what to expect, and when, before we start.
Full asset tracking
Every asset — from attenuation pond to fire door, and listed fabric such as lime-mortar masonry or original sash windows — is logged with photos for reliable, ongoing tracking.
When a conservation officer or RICS surveyor needs the history, we can produce a chronological photo-log of how a specific element has been maintained.
No hidden fees
There are no fees or charges for:
-Contractor commission
-Insurance renewal
-Utility renewal
-Section 20/Major works commission
-Sales or Management packs
-Site visits
-Annual General Meeting (AGM) attendance
-Contractor database/vetting
Regular feedback
Once a job is complete, the affected residents hear from us directly — not silence followed by uncertainty.
We also ask every client, every year, what we could do better — and we act on it.
Low staff turnover
Your manager won't change every 18 months. We invest in our team so they stay — and so you don't have to re-explain your development to someone new.
Custom-built software
Software fit for your development — whether that is a listed Cheltenham conversion or a standard residential block. Built from the ground up, not forced into generic off-the-shelf limits.

How Wexel manages your development — from onboarding through to day-to-day operation.
At Wexel, our management process is published, structured and consistent. By providing clear operational visibility, our customers always know what to expect, when to expect it, and who is responsible.
1
Initial Engagement
Discovery & Site Assessment
We begin with a no-obligation conversation to understand your development, your current frustrations, and your goals. We will review your existing service charge accounts, contracts and documentation — and give you an honest assessment of what we can offer.
2
Transition
Structured Handover
We manage the transition from your existing managing agent — including novation of contracts, transfer of float funds, collection of keys and access codes, and notification to residents. From top to bottom, we create an asset list to track cyclical maintenance and testing, so that every aspect of the property is monitored and managed. Our target handover period is 6–8 weeks, with a dedicated lead overseeing every step.
3
Onboarding
Resident & Director Introductions
We introduce ourselves to all residents in writing, provide access to our resident portal, and hold a directors' onboarding meeting. We explain our systems, responsibilities and how to raise issues, in plain language — so everyone is aligned from day one.
4
Ongoing Management
Day-to-Day Operations
Clear communication is one of our core values, so we make it easy to reach us — by phone, email, text, or online form. Our management platform handles everything from maintenance requests and contractor management to service charge administration, with every issue logged, tracked, and actioned. Customers can follow progress in real time, and directors receive proactive updates directly from their dedicated manager — no chasing required.
For general enquiries, we respond within 2 working days.
5
Maintenance
Maintenance Issues
As soon as a maintenance issue is logged and details are received, it is available to monitor on the customer portal. Quote requests are then promptly sent to our contractors, typically a minimum of two quotes are obtained before proceeding with any works. Consultation and director approval are subsequently sought as required before proceeding with any works.
A notification of works is sent to residents to reduce disruption and, on completion of an issue, the affected parties are contacted directly to confirm resolution. The contractor is then paid within 5 working days of signing off the work.
For maintenance issues, we respond within 8 working hours.
6
Renewals, Certificates and Compliance
Cyclical Renewals, Certificates and Compliance
When a cyclical action is required (Insurance certificate, Health and Safety Assessment, utlity renewal, etc), the first action is taken within 3 months of the due/expiry date. This gives all parties sufficient time to approve, tender and complete works. We aim to complete these, and make available on our portal, a month before the due/expiry date.
7
Emergencies
Emergency Issues
In the event of an emergency, our priority is the safety and security of all residents. We will instruct and notify the emergency services and contractors on an urgent basis, as required. As soon as it is practicable, residents, leaseholders, and directors will be notified and updated as required.
We reserve the right to incur expenditure in an emergency to make an area safe. Any further expenditure for non-urgent works will be procured and will be subject to director authorisation, as required
8
Reporting
Site Visits & Expenditure Reports
Frequent site visits (often monthly or quarterly, as agreed with Directors), your Wexel manager conducts a formal site inspection and produces a written report covering condition notes, actions arising, expenditure to date, and upcoming planned works. Distributed on our platform within 5 working days.
9
Annual Cycle
Budgeting, AGMs & Year-End
We prepare the annual service charge budget, support your AGM and liaise with your accountants at year-end. Draft budgets are issued to directors no later than 8 weeks before the service charge year begins — giving sufficient time for review and consultation.
Pricing
